TackleOS

Privacy Policy

Effective October 22, 2026

TackleOS (“TackleOS”, “we”, “us”) provides farm-management software for horse operations at tackleos.app. This policy explains what information we collect, how we use it, who we share it with, and the choices you have. TackleOS is operated as a sole proprietorship based in Arizona. It applies to everyone who uses TackleOS — farm owners, their staff, and people a farm invites, such as horse owners using the mare-owner portal.

Information we collect

  • Account information — your name, email address, and sign-in details, and the farms you belong to and your role on each.
  • Farm records you enter or import — horses, owners and contacts, health and breeding records, feed programs, shows, tasks, notes, documents, invoices, payments, and expenses. This is your farm's data; we hold it on your behalf.
  • Files you upload — documents, photos, and receipt images. When a receipt is read, we keep what was found on it (vendor, date, amounts, line items, and only the last four digits of any card number).
  • Information from connected services — if you connect QuickBooks Online, the identifiers and sign-in tokens needed to keep that connection working (see below).
  • Basic technical information — the logs our hosting providers keep to run and secure the service, such as IP address, browser type, and the time of a request.

We don't use advertising or analytics trackers, and we don't collect full payment-card numbers. The only cookies TackleOS sets are the ones needed to keep you signed in and to complete a connection to a service you chose.

How we use it

  • To provide TackleOS: store and show your records, run reminders and reports, send the emails you ask for (such as invoices and invitations), and keep connected services in sync.
  • To run the AI features you use — the farm assistant, reading receipts and documents, and importing records. The content you send to those features is processed to give you an answer or a draft for you to review.
  • To support you, keep the service secure, prevent abuse, and fix problems.
  • To tell you about changes to TackleOS or to these terms.

We do not sell your information, and we do not use your farm's records to advertise to you or to anyone else.

QuickBooks Online

If a farm owner connects QuickBooks Online, TackleOS sends the farm's billing and expense records to that QuickBooks company: clients as customers, services as items, finalized invoices, payments, and saved expenses with their receipt images. The connection is one-way — TackleOS writes these records and reads only what it needs to do so (such as the company name, accounts, items, and vendors). We store the QuickBooks sign-in tokens encrypted and never show them in the browser. The farm owner can disconnect at any time from Settings → Billing, which revokes our access; records already sent stay in QuickBooks. Data obtained from QuickBooks is used only to provide this sync and is never sold or used for advertising.

Who we share it with

We share information only with service providers that help us run TackleOS, under terms that protect it:

  • Supabase — database, sign-in, and file storage.
  • Vercel — hosting.
  • Anthropic — the AI features (assistant, receipt and document reading, imports).
  • Resend — sending email.
  • Sentry — error reports, so we can fix problems quickly. Reports describe what went wrong in the software and don't include your IP address or cookies.
  • Intuit — QuickBooks Online, only if you connect it.
  • Open-Meteo and OpenStreetMap — weather for your farm's area, and turning show and receipt addresses into map locations.

We may also disclose information if required by law, to protect the rights and safety of our users or others, or as part of a merger or sale of the business, in which case this policy would continue to apply.

Who can see your farm's records

Each farm's records are kept separate. People see a farm's records only if they are a member of that farm, with what they can see and change set by their role. A small number of TackleOS staff can access farm data when needed to provide support, set up an account, or keep the service running.

How long we keep it, and deleting it

We keep your farm's records for as long as the farm has an account. A farm owner can ask us to export or delete the farm's data by emailing support@tackleos.app; we'll delete it within 30 days, except for anything we must keep by law. Backups are overwritten on a rolling basis. You can also ask us to correct or delete your own account information.

Security

Information is encrypted in transit, access is limited by farm and role, and sign-in tokens for connected services are encrypted at rest. No system is perfectly secure; if we learn of a breach affecting your information, we'll notify you as the law requires.

Children

TackleOS is for businesses and adults. We don't knowingly collect information from children under 13.

Changes

If we change this policy, we'll update the date above and, for significant changes, let farm owners know by email or in TackleOS before they take effect.
